Key Duties/Responsibilities

Office Management

  • Responsible for the upkeep of the Executives daily schedules in both professional and private circles.
  • Coordinate and schedule appointments, reservations and travel arrangements.
  • Perform reception duties by meeting and greeting clients and visitors and managing all phone calls and mail as may be needed from time to time.
  • Perform general clerical duties including but not limited to photocopying, scanning, mailing, filing, arranging for courier services etc.
  • Coordinate social functions and order/pick up lunches.
  • Prepare coffee for employees and guests and replenish supplies as may be needed from time to time.

Ad-Hoc Work

  • Performs other related duties as assigned.

Qualifications

  • A post-secondary degree/diploma in business or comparable experience.
  • Previous administrative experience in a small to mid size entrepreneurial environment.
  • Exposure to travel bookings is a definite asset.

Position Summary

The Project Manager role is to coordinate and execute all phases of the project management process on installation projects. The Project Manager will regularly interface with corporate resources, clients and subcontractors. They will be responsible for all communication related to scheduling, coordination and utilization of those resources throughout the entire project. The Project Manager also has P&L responsibility for each project they manage.

Key Duties/Responsibilities

Project Management

  • Define and implement project plans in accordance with the contract terms, client’s needs, and UCIT’s offerings from prospect development through project planning, execution and closeout. Provide hands-on project management and actively supervise the project plan, deliverables, dependencies and outcome of assigned projects to ensure projects are on-schedule and on-budget.
  • Plan and manage multiple projects on-time and on-budget
  • Resource coordination and supervision duties will include assembling and organizing project resources to meet project requirements, as defined by the project scope. Manage the project team against the project plan.
  • Manage project partnerships with senior management, clients, contractors and other internal and external stakeholders
  • Define and mitigate overall project risk through conflict and issue resolution with the project team and stakeholders.
  • Internal and External Reporting: Keep internal stakeholders informed of project status and deliverables, as well as risk and mitigation strategies. With the Account Executive, ensure the client is informed of project status
  • Project Quality Assurance: Ensure project deliverables meet or exceed both client and internal expectations by implementing quality assurance reviews appropriate to project size and scope.

Other Responsibilities

  • Assist Account Executives with system design and product selection
  • Read and create basic level engineered drawings and as-built project packages
  • Provide basic technical support as required
  • Perform other duties as assigned

Qualifications

Education

  • BA or diploma/degree in Engineering or related fields
  • Certified Security Project Manager (CSPM) designation is a must

Experience

  • 5 years of project management experience
  • Experience in planning and managing $1-3 million budget projects within the technology service industry

Core Competencies

  • Excellent knowledge of the principles and practices of project management and demonstrated ability in monitoring, reviewing and reporting on projects
  • Ability provide detailed and accurate cost analysis for various projects
  • Excellent team building skills, listening, coaching, group facilitation and conflict resolution skills
  • Ability to manage multiple projects with competing priorities
  • Demonstrated proficiency in Microsoft Office, Visio
  • Excellent proficiency in Microsoft excel
  • Excellent interpersonal and verbal/written communication skills and client relationship skills
  • Proficient in effectively managing own time, workload and schedule
  • Strong attention to detail
  • Organized, reliable and highly dedicated
  • Possess a high tolerance for stress and the ability to remain calm under pressure
  • Ability to work in a fast-paced and constantly changing environment

  • Flexibility in work schedule may be required depending upon client needs
  • Ability and willingness to work occasionally outside of regular business hours (including weekends) when required
  • Access to own vehicle as travel to project sites is required
